Working alongside over 500 co-owners (and self-employed contractors), and across 8 different locations, can be a big challenge when it comes to communication!
However, there are a number of methods we deploy to ensure that you are kept up to date with any changes happening or just general news. Equally, there are a number of methods that you can use to ensure the management and administrative staff are kept up to date with any information you wish to share with us. At BrisDoc, we are committed to enhancing communication throughout the organisation, both within each service and across the company.
How we will communicate with you:
- Email, texting and phone calls: We prefer to use your @nhs.net account for e-mailing, as this is safe and secure. If we are sending out a group email, we want to protect your personal information and not include your private email address. You can set your NHS net account up easily on most smart phones and androids – Google it for easy instructions. If you have trouble accessing your NHS net account – let us know!
- Planned meet the Senior Manager Team sessions (Roadshows), and team meetings or training events at various bases or Head Office: Come along, have your say and ask any questions.
- Regular briefings: this includes our monthly electronic newsletter which is emailed out to your @nhs.net email and posted on Radar.
- Twitter: If you use twitter, follow us @BrisDocHealth
- Radar: Our internal intranet is the place where everything you need to know is. It’s very easy to use – try out the search bar to find what you need.
- Handover books: In some of our services, these are kept in the reception areas at each base – read these for any updates since your last shift.
General Tips on Communication
When it comes to communication, it’s important to keep in mind four key “rights”:
(1) the right message,
(2) at the right time,
(3) in the right way,
(4) to the right person.
It is equally important to ensure understanding
When we need to communicate information, we should consider the following questions:
- What is the content of the message?
- Who is the intended recipient? Is it an individual or a group?
- How should the message be conveyed? What method of communication should be used? Methods of communication can include face-to-face discussions, telephone conversations, emails, letters, cards, or text messages. It is crucial to choose the appropriate method based on the message being communicated. For example, urgent messages are better conveyed through phone calls rather than emails, as email responses may not be immediate. Additionally, we should consider factors such as the sensitivity and confidentiality of the message, as well as the recipient’s preferred communication methods.
- When should the message be communicated? How urgent is it? It is essential to consider the context in which the recipient will receive the message.
Communication with the Media
If you have any concerns, please raise them with BrisDoc using an incident form or by discussing them with your line manager. If concerns remain unresolved, you may follow the appropriate grievance procedure.
For concerns related to fraudulent or illegal behavior by BrisDoc or one of its co-owners, please report them in accordance with the Whistle-blowing policy. Under no circumstances should individuals engage with the media regarding BrisDoc. All communication with the media, representing BrisDoc, must be coordinated through a BrisDoc Director.
How you can keep in touch with us:
- Give us a ring, either on mobiles or base telephone, or at Osprey Head Office. The management team want to hear from staff, and are happy to help you sort out any problems you have.
- Face to face meeting: If you want to see us, we can arrange to meet you at your nearest base, either individually or in groups. This is part of the role of the management team, so never feel that you are asking a favour to ask us to meet you.
- E mail: This is most people’s go to means of communicating. Please be aware of how difficult it can be to manage overcrowded inboxes so please use email if you need to but use the right subject headings, be succinct, and avoid mass copying in of others .
- Radar: Use the feedback functions on pages such as Co-owners Council and BrisDoc Green Hub.
- BrisDoc Staff Suggestion Box: can be found on the weblinks page on the Weblinks BrisDoc page.
- Our Voice Survey: Play an active role in supporting the improvement of our organisation by sharing your views in the annual staff survey
- Quarterly Wellbeing Survey: We also release a quarterly wellbeing survey which provides a temperature check of how you’re feeling.
